Initial Privacy Policy for HITC.
Head In The Clouds (Pty) Ltd ("HITC") is the responsible party for your personal information as defined under the Protection of Personal Information Act 4 of 2013 ("POPIA"). We are committed to protecting your privacy and processing your information lawfully, transparently, and only for the purposes described in this policy.
We collect the following categories of personal information during registration and use of the platform:
• Identity information: first name, surname, mobile number, email address • Location information: province, suburb • Profile information: language preference, category interests, dietary requirements, preferred retailers • Feedback content: your responses to Mission questions and any photographs you submit • Usage data: how you interact with the HITC app
We collect special personal information (dietary requirements, religious preferences) only with your explicit consent and use it solely for the purpose of matching you with suitable trial products.
We use your personal information for the following purposes:
• To register and manage your Cloud account • To match you with suitable Cloud Drop trial campaigns • To send you trial products and process delivery • To send Mission reminders via WhatsApp and email • To calculate and issue Cloud Cash rewards • To generate anonymised, aggregated intelligence reports for brands and retailers
Your individual identity is never shared with brands or retailers. All brand and retailer-facing data is aggregated and anonymised.
By providing your mobile number and opting in to WhatsApp communication, you consent to receiving Mission reminders, delivery notifications, and reward updates via WhatsApp. You may opt out at any time by contacting us at hello@hitc.co.za. Opting out of WhatsApp communications does not affect your account or your ability to complete Missions via the app.
We do not sell your personal information. We share your information only in the following circumstances:
• With courier and logistics partners, solely for the purpose of delivering trial products to your address • With our technology service providers (Supabase, Vercel, Resend, 360dialog) who process data on our behalf under appropriate data processing agreements • With brands and retailers, in aggregated, anonymised form only — never in a form that could identify you individually • Where required by South African law or a court order
We retain your personal information for as long as your account is active. If you request account deletion, we will delete your personal information within 30 days, except where we are required by law to retain it for longer.
Anonymised, aggregated data derived from your feedback responses may be retained indefinitely as it cannot be linked back to you.
Under POPIA, you have the right to:
• Access the personal information we hold about you • Request correction of inaccurate information • Request deletion of your information (subject to legal retention requirements) • Object to the processing of your information • Lodge a complaint with the Information Regulator of South Africa

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, or destruction. These measures include encrypted data storage, role-based access controls, and regular security reviews.
We may update this Privacy Policy from time to time. Material changes will be communicated via the HITC app and will require your re-acceptance. The version number and effective date will always reflect the current version.
